Main purpose of the role

We are currently looking for a dynamic and ambitious professional to join us as Senior Programme Co-ordinator in our Bristol team in Common Purpose Bristol & West of England. Position: Senior Programme Co-ordinator

Department/Office: Common Purpose Bristol & West of England

Responsible to: Programme Director

Grade: C

Salary: £20-21k per annum

Physical Location: Bristol, UK

Duration: Permanent full time

Overall Objectives and Person specification

The main purpose of this role is to coordinate activities for Common Purpose programmes across Bristol and to support the work of the Programme Director. This includes both open programmes and customized work. The role will also be required to work and travel across the UK from time to time supporting other members of the wider CPUK team as part of Common Purpose’s flexible resource model.

Scope of the role

This role involves: 

  • Regular telephone and email contact with businesses, public sector organisations and charities arranging sales/recruitment meetings.
  • Sales calls to follow-up when information has been sent, supporting the sales drive for courses
  • Researching case studies through our knowledgebase.
  • Regularly updating the sales database CPO with contact details and tracking customer movements
  • Supporting the team with marketing initiatives; PR opportunities; graduate communications.
  • Maintaining regular communications and good relationships with key stakeholders (e.g. programme participants, advisory group members, contributors and alumni)
  • Supporting events, programme days, launches, graduate events, networking activities in the region, under guidance of the Programme Director.
  • Compiling information, sales and briefing packs.
  • Liaising with, and visiting, venues prior to the actual event; organising catering; handling venue bookings.
  • Regular liaison with, and support for, the participant group e.g. in relation to dietary requirements, biographies; support with the participant website and assessment procedures.
  • Contacting speakers and keeping them informed
  • Physically setting up the venues for events e.g. setting up the room, registration arrangements etc.
  • Data entry and data cleansing on our systems and databases
  • Maintaining IT systems
  • Running and organising the office systems
  • Issuing invoices promptly and accurately and following up to ensure prompt payment
  • Ordering stationery and office supplies; handling post and maintaining effective office administration procedures.
  • Supporting the team with administrative tasks, systems and procedures.
  • Supervising interns/ apprentice when appropriate

Essential
Qualifications, experience and competences

  • Proficient at Microsoft Office including email, Word and Excel
  • Coordination and administration experience
  • Ability to work in a small team with self-direction
  • Ability to motivate oneself, keep focus and operate independently when working on one’s own
  • Strong communication skills, with excellent written and spoken English
  • Friendly and professional interpersonal skills, on the phone, by email and face-to-face
  • Meticulous attention to detail
  • Strong team player who is proactive in resolving problems
  • Experience of establishing strong working relationships with colleagues from different functions and cultures
  • Experience of a flexible approach to managing and prioritising a high workload and multiple tasks in a fast paced environment with tight deadlines
  • An understanding of and commitment to Common Purpose’s mission, values and behaviours
  • Proficient at Microsoft Office including email, Word and Excel 

 

Desirable
Qualifications, experience and competences

  • An undergraduate degree (or equivalent qualification) in any subject
  • Experience of selling leadership development programmes/services to Universities and to national and multinational organizations in a corporate sales environment
  • Ability to speak multiple languages.
